Events

Changes to the programme

Due to unforeseen circumstances the programme may change and the Global Diplomatic Forum reserves the right to change the venue and/or speakers. Any substitutions or changes will be updated on our website as soon as possible.

The Global Diplomatic Forum reserves the right to cancel events if enrolment criteria are not met or when conditions beyond its control prevail. Every effort will be made to contact each enrolled individual if a programme is cancelled.

Only if there is no alternative date set for the event, delegates will receive a refund of their participation fee. In any case, the Global Diplomatic Forum is not liable to any other expense incurred by delegates.

Registration and payment details

Payment must be made in sterling in advance of the event in order for your booking to be processed. If payment has not been received two weeks before the event.

Process for cancelling?

All cancellations must be received in writing by email to events@gdforum.org, or by a telephone call to

Upon cancelling, we can offer you:

  • The option to send a substitute in your place at no extra charge.

  • Cancellations received 29 days or more prior to the event will be entitled to a 100% credit voucher or refund. Cancellations received between 15 days and 28 days (inclusive) prior to the event will receive a 100% credit voucher to attend a future Global Diplomatic Forum seminar/training course or a 75% refund. For late cancellations received between 1 day and 14 days (inclusive) prior to the event, no credit voucher or refund will be given.

Failure to attend the event on the day will constitute late cancellation and no credit voucher or refund will be given.

The Global Diplomatic Forum is not responsible for any loss or damage as a result of a substitution, alteration, cancellation, or postponement of an event. The Global Diplomatic Forum shall assume no liability whatsoever if this event is altered, rescheduled, postponed or cancelled due to a fortuitous event or unforeseen occurrence that renders performance of this event inadvisable, illegal, impracticable or impossible. For purposes of this clause, a fortuitous event shall include, but shall not be limited to: an Act of God; governmental restrictions and/or regulations; war or apparent act of war; terrorism or apparent act of terrorism; disaster; civil disorder, disturbance, and/or riots; curtailment, suspension, and/or restriction on transportation facilities/means of transportation; or any other emergency.

Travel and accommodation

Delegates are responsible for the arrangement and payment of their own travel and accommodation unless specified otherwise. There are occasions when the Global Diplomatic Forum will arrange a special room rate at a number of hotels. If this is the case it will be detailed on the promotional literature and website for that event. With regards to accommodation either provided or suggested, the Global Diplomatic Forum will not be held responsible for the service provided by the accommodation provider.

3rd party suppliers/partners

The Global Diplomatic Forum will not be held responsible for any issues that arise from either our partners or suppliers during our events.

Additional requirements

Please notify the Global Diplomatic Forum when booking and at least one month before the event date if you have any additional special requirements to guarantee availability e.g. dietary, wheelchair access, large print, hearing loop etc.

Abusive Behaviour

Abuse and disruptive behaviour as well as intolerance towards our staff and participants at the events will not be tolerated and will result in immediate withdrawal from the event without refund.

Complaints

All complaints must be submitted via writing to enquiries@gdforum.org and will be investigated after the event. No refunds will be paid to participants during the event.

Youth Diplomacy Programme

The following terms and conditions apply to all participants of the Youth Diplomacy Programme.

Every effort will be made to contact each enrolled individual if a programme is cancelled. If a programme is not held for any reason, the Global Diplomatic Forum's liability is limited to the refund of the programme fee only.

REGISTRATION AND PAYMENT DETAILS

Membership

The Global Diplomatic Forum's annual membership year begins upon the start of your membership date.
Shortly before your membership is due to expire, we will send you a notice inviting you to renew your membership for the forthcoming membership year.

If you pay for our monthly membership programme, you cannot cancel until 30 days after paying for your initial membership fee.

All cancellation requests must be made via writing to enquiries@gdforum.org.

Your annual membership is valid for 12 months and cancellation before 12 months will not result in a refund.

Number of Events: The number of events maybe higher or lower than stated number in the membership packages and members will not be refunded for events that they either did not attend or were not run. This also applies to our briefings and networking receptions.

Photography and Videos

The Global Diplomatic Forum maintains the right to use all photos and videos that have been produced during our events for all marketing and promotional purposes. Images and videos produced at our events cannot be used without prior approval from the Global Diplomatic Forum.

Young Diplomats Forum

VISA REFUSSALS

Participants are entitled to a 100% refund of their participation fee if their visa application was refused. In the case that the refusal is due to missing documents or misleading information, participants may not be eligible for a full refund. Each case will be treated on its own individual merit. It is the participants responsibility to apply for their visa well in advance, so not to miss the forum. Delayed visa due to late applications will not entitle a refund on the participation fee. Refusals when communicated after the start of the event will not entitle the delegate to a full refund.

TRAVEL AND ACCOMMODATION

Delegates will be staying in shared accommodation. If you require a single room, this will be an additional cost, depending on the rates offered by the hotel. Shared accommodation includes a twin room with 2 separate beds.

The Global Diplomatic Forum will not be held responsible for any issues that arise from either our partners or suppliers during our events.

HEALTH INSURANCE

The Global Diplomatic Forum is not responsible for nor will be liable to cover any medical costs incurred by participants during the Young Diplomatic Forum. It is the responsibility of each participant to organise their own health/medical insurance or if in the event that a participant requires medical assistance and does not have adequate insurance, cover the costs incurred themselves.
